Spanish Civil Records in the U.S. โ€” 2026 Guide

Checked September 2026. This page was written for this country and its details were checked against the authorityโ€™s own sources that month. Consular rules still change without notice, so confirm anything that will cost you a journey or a fee with the office that covers you. How we check our data.

Spanish consulates run a full civil registry. They register births, marriages and deaths that involve Spaniards in their district, record foreign divorces where they can be recognised, and issue literal certificates. Those certificates carry exactly the same weight in Spain as ones issued by a registry office there.

Most consulates now let you choose between an in-person appointment and a postal filing for registrations, which matters when the nearest office is several states away.

The registry work itself costs nothing. The expense sits in the U.S. certificate, the apostille and the translation.

How to file

  1. Order the long-form U.S. certificate of the event.
  2. Have it apostilled, checking first how recent the apostille must be for your consulate.
  3. Arrange a sworn translation into Spanish where the registry asks for one.
  4. Choose the in-person or postal route offered by your consulate and submit the file.
  5. Wait for the registration, which can take months in busy districts.
  6. Request literal certificates once the entry exists, and order spares.

Required documents

Where to file

With the consulate covering the place where the event happened, which is not always the office nearest your current home.

Additional notes

The literal certificate is the key document

Passports, identity cards and nationality files all rest on it. Anyone born outside Spain should keep a recent copy on hand.

Foreign divorces

A divorce granted in the United States can be recorded against a Spanish marriage entry, which is what updates civil status in Spain. It is a separate procedure with its own requirements.

Names

Spanish records use two surnames. Differences between the U.S. certificate and the Spanish entry should be resolved during registration rather than afterwards.

Timelines

Registrations queue behind nationality files in several consulates. Start well before you need the certificate for anything else.
