Long-form birth certificates are the ones Irish files generally require, not the short abstracts some U.S. states issue by default. Order the long form from the outset.
How to prepare a document for Ireland
- Order the long-form certified copy from the issuing state office.
- Notarise private documents first, since the apostille certifies the notary’s signature.
- File with that state’s Secretary of State, or with Washington for federal records.
- Check whether the Irish office receiving it wants the original or will accept a certified copy.
- Send by a tracked service and keep the reference.

Long form, not short form
This is the commonest document error in Irish files. A short-form certificate that omits parents’ details will not establish a line of descent.
Originals travel
The foreign birth register asks for original certificates, which are returned. Use tracked post in both directions and keep copies of everything first.
Order two copies
Where several generations are involved, a duplicate set saves months if anything goes astray.
Never apostille a photocopy
The certificate attaches to an original or a certified copy from the record keeper.
